Purpose of role:
Assist in the tactical support of BP’s global travel programme by providing operational assistance and project activity in the China region, ensuring proper travel delivery and oversight, including BP’s travel program suppliers (air, car, hotels, limo, travel management company, and meetings mgmt vendors)
Key Accountabilities
Work will consist of:
• Assisting the China businesses by building and enhancing the relationship ensuring effective alignment of Travel operational delivery to the business strategies.
• Understanding the China requirements for travel services.
• Providing information and support to admin and travelers in China.
Provide administrational and organizational support to Asia Pacific Travel Specialist as required
• Customer reach-out and networking – In conjunction with BP’s travel management company (TMC), deliver projects which increase knowledge and awareness of Global/ China Travel Program - through travel forums, workshops in BP offices, and other methods. Promote the use of BP’s online booking tool, eTravel Planner – and provide needed communication and resources. Work with preferred suppliers to help enable greater compliance and added value benefits to BP Travelers.
• Support ongoing communications to BP Travelers via GTS’s Asia web content, media updates, and the China reach-out campaigns.
• Assist with the provisioning and analysis of China business travel MI and distribution and collaboration with BP business customers.
• Hotel Program - Actively supports the delivery related to BP's hotel program and new meeting management program as well as the implementation of meetings management strategy in China.
• Travel Service Delivery - Liaise with TMC to resolve BP Traveler issues with TMC-delivered services. Provide follow up activity on service issues across the GTS scope of services. Provide ongoing communication to BP Travelers of program changes and enhancements. Plan, develop, and support processes and change that facilitate best-in-class service delivery and cost optimization within the travel program.
• BP Traveler Compliancy – Ongoing support of the China program and the education of its users concerning the program’s benefits.
Essential criteria & qualifications
a. Educational background
University study - business or communications would be excellent
b.
• Familiarity and knowledge of meetings and travel would be considered favorable. Low level
• Experience in customer service and relationship networking across an organization. - medium level
• Demonstrates a minimum of intermediate skill set for Microsoft Word, Excel and PowerPoint.
• Training skills to educate users on programs and procedures - this can be minimum level but show an interest
c. Other
• Excellent oral and written communication skills. Mandarin to have some English would be favorable
• Maturity and confidence to handle sensitive issues with diplomacy. Perhaps give examples of influence style - Medium level
• Problem solves Customer and supplier work issues and decisions timely and diplomatically - High level of customer service focus and examples
